Connections
Changes on these pages save to Peggy online, and every Peggy picks them up within a minute.
Team and codes
Everyone in the phone bar and the transfer list. Each computer joins the team once with a join code: pick the person, then type their code at the top of Settings on their computer.
Valid for 7 days, works once. Type it at the top of Settings on their computer (Connect to your team).
About these fields
Extension is what calls and transfers dial. For someone without a desk phone, pick Mobile only under Phone and fill in their mobile.
Work email is their Google work account. It's used for calendars, and for signing in to this page: an admin signs in here with the Google account that matches the email on their row.
Phone password is only for a desk phone whose admin password is different from the one all the phones share (Desk phones). Leave it blank to keep what's saved.
Computers
Each Peggy reports in once a minute. Anyone not seen for a few minutes during their working hours needs a look.
Desk phones and texting
Peggy talks to each desk phone using the phone's admin password. Save the one all the desk phones share here, once for everyone. If someone's phone has a different one, put it on their row under Team and codes. They're kept in Peggy online, where only your team's computers can read them, and never shown again here.
The texting key is the one the n8n SMS App expects. Texting, Ask Karen, call history, notes, the missed-call list and handover notes all need it.
Phones and calls
How every Peggy handles calls. Each part saves on its own, and every Peggy picks up a change within a minute.
Which brand each line answers as
Each desk phone has its lines (phone accounts) in order: Line 1 is the first account, Line 2 the second, and so on. A call ringing in on a line shows as that brand in the pop-up, with its colour, logo and ringtone. When someone rings a customer as a brand, Peggy sends the call out on the first line set to that brand, so the customer sees the right number. A line not listed here answers as Window Trendz.
2talk queue labels
2talk can put a label in front of the caller's name, like "C2U: John Smith". Peggy reads the label to know which brand the call is for, and shows the name without it. A label wins over the line's brand. The label has to be followed by a colon, dash, bar, slash or space, so a caller called "Wthers" isn't read as "WT". Capitals don't matter.
Picking up a colleague's call
When a colleague's phone is ringing, Pick up in the team list dials this code and then their extension from your desk phone. It has to be the call pickup code your phone system uses. Peggy's default is *89.
Wrap-up after each call
Seconds of Do Not Disturb on someone's desk phone after each call, so they can finish notes before the next one rings. Calls still ring everyone else. 0 turns it off for everyone, up to 120. Leave it blank to let each person choose in their own Settings.
It only works on phones that tell Peggy whether Do Not Disturb is on. The current Grandstream desk phones don't, so on those Peggy leaves it off whatever is set here.
Call codes
After a call ends, the pop-up asks what it was about. Pressing 1 to 9 picks one, and it's saved with the call in the call history. Up to 9, each up to 40 characters, in the order they're numbered.
Demo mode
Sample customers, a sample team and "Try a sample incoming call" in Peggy's menu, for trying Peggy without a desk phone. Turn it off once the desk phones and the phone book are set up.
Phone book
Peggy recognises callers, and search finds them, from three lists: contacts saved by the team, contacts loaded from Xero, and the staff.
Callers saved in Peggy by the team, plus any added here. Everyone's Peggy picks up changes within 10 minutes.
Add contact
- In Xero, go to Contacts, then All contacts. Click Export.
- Click Load a Xero export below and pick that file.
Loading a new export replaces the Xero contacts for everyone within 10 minutes. Saved contacts aren't touched.
Staff are always in Peggy's phone book. Change their details on Team and codes.
Office hours
Used for "Back at 8:30am tomorrow" in the team list, and for after-hours DND.
Brand logos
The logo at the top of the call pop-up, on each brand's colour. Every Peggy picks up a new one within a minute. Use the white (or off-white) version of the logo, on a transparent background. It shows at about 30px tall on the brand colour. PNG, SVG, JPEG or WebP, up to 500 KB.
Ringtones
The sound Peggy plays on each computer while a call rings, picked by the call's brand. This is on top of the desk phone's own ring. Every Peggy picks up a new one within a minute.
Company defaults
For everyone who hasn't changed their own. Each person can still turn the ringtone off or change the volume in their Settings, and from then on their choice stays.
Each brand's ringtone
MP3, M4A, AAC, WAV or OGG, up to 1.4 MB. A short sound works best: it plays over and over until the call is answered. Play uses the default volume above.
Trello jobs
When a customer rings, the pop-up shows their open job from Trello. Set up once here for everyone. It only reads Trello, it never changes cards.
- Logged in to Trello, go to trello.com/power-ups/admin and click New. Name it Peggy, pick the Window Trendz workspace, and create it.
- Open API key, click Generate a new API key and copy the key.
- Paste the key below, then click Get read-only token. Trello opens in a new tab. Click Allow and copy the token it shows.
- Paste the token below, add the boards, and click Save.
Google Calendar
Peggy online checks everyone's calendars every 3 minutes and shares only who is at an appointment and until when. No computer has to be on, and nobody else has to sign in.
Google sign-in client
Use the same Web client you set up for signing in to this page (Google Cloud, then APIs & Services, then Credentials, then Peggy web admin). In Google Cloud, also turn on the Google Calendar API and the People API for that project.
Connect Google Calendar
It only reads free/busy: no appointment names, customers or addresses. Whoever connects must be able to see the team's calendars in their own Google Calendar.
Parts of Peggy
Switch parts of Peggy on or off for everyone. Anything that uses n8n also needs the texting key (Desk phones).
Outstanding invoices
Accounts settings
Karen reads outstanding invoices from Xero every 30 minutes, 7am to 6pm on weekdays. It only reads Xero: nothing is ever changed there.
Xero
Connect with a Xero login that can see Window Trendz Limited, and tick that organisation when Xero asks.
Which invoices to list
They're still read from Xero, just not listed or counted.
Brands
All three brands invoice from the one Xero organisation, so Karen tells them apart by each invoice's branding theme. Pick the brand for each theme. Invoices with a theme not picked here show as Unsorted.
Who can use Accounts
Admins always can. Anyone else ticked here signs in to Karen with the Google work email on their row in the team list, and sees only Accounts.
